Job Context: Nottingham University Press is a small but dynamic and growing publishing company. The University of Nottingham is one of the top ten Universities in the UK. Our titles are purchased worldwide, through an increasing network of Distributors.
Job Purpose A part-time vacancy has arisen for an office administrator.The post involves a wide variety of office and administration duties. The successful applicant would therefore be able to manage all aspects of office related tasks to create an effective support system and demonstrate ability to work on own initiative.
Key Responsibilities:
Office Duties:
- Process incoming orders.
- In collaboration with Business Development Manager, update relevant order reports within Sage accounting system.
- Generate new reports for both accounting and sales functions.
- Reconciliation of customer accounts in conjunction with Finance Department at the University of Nottingham.
- Month end stock and sales reports.
- Production of monthly customer accounts statements and subsequent credit control.
- Stock reconciliations.
- Responsibility for Standing orders both processing and updating database.
- Produce pro forma invoices and process as necessary including updating of database.
- Maintenance of customer database.
- Maintenance of website to include some marketing.
- Raise purchase orders.
- Stationery purchasing and photocopier supplies.
- Telephone answering.
- Packing books on ad-hoc basis.
- Payment of Royalties to authors.
- Liaison with Mail distribution company.
- Any other Administrative tasks required.
PERSON SPECIFICATION:
Essential Experience:
- Proven experience of working within an administrative role.
- Good IT skills, Including Microsoft Office: Word, Excel, PowerPoint.
- Practical working knowledge of Sage Accounting Software.
Essential Skills:
- Excellent communication and interpersonal skills.
- Ability to present information articulately and produce reports appropriate for all levels.
- Flexible approach.
- Ability and willingness to use new techniques and or tackle new challenges effectively.
- Ability to work as part of a team and on own initiative.
- Excellent time management skills.
- Problem solving skills and ability to think creatively.
- Able to meet deadlines.
